Meeting and greeting your guests at airports can be fraught with problems. Passengers on different flights, landing at different terminals or even different airports. Drivers unable to leave vehicles unattended, flights arriving early or late all add up to a potential nightmare if left to chance.
Our Meet and Greet service provides smart, efficient and experienced staff to welcome your guests as soon as they clear customs and ensure that they are able to meet up with their transport for onward transit.
The service operates effectively for one individual transfer or a whole programme involving thousands of delegates, and is available at any airport, railway station or port in the UK.
A large conference or meeting usually entails delegates arriving either individually or in groups of varying sizes. Showpax will be on hand to manage the whole programme, providing vehicles of any size, and able to adapt quickly and efficiently to late flights, cancellations and even diversions to different airports.

A team of highly trained and experienced ground operatives, under the supervision of the manager dedicated to the pre planning of the event, will be on site during the open days to ensure everything goes to plan.
An on-site Control Room will be set up to monitor vehicles, from pick up point to venue, allowing conference organisers to be aware of missing or extra delegates, and to quickly react to unforeseen circumstances.
Road traffic accidents and adverse weather conditions can affect travel times but cannot be anticipated in the planning stages. The Control Room staff will also liaise with meet and greet staff at airports, enabling the appropriate information to be relayed to the conference organiser quickly and effectively.
At the venue, our site management team will ensure that all passengers alight at the correct points and are welcomed to the conference in a pleasant and efficient manner. Vehicles will be parked, and drivers taken care of and re-briefed for later transfers.
At the close of the conference, vehicles will be ready in pre-arranged positions and order, to take passengers home or onto the next stage of the event.
Throughout the entire programme our team will handle all transport related matters, leaving you free to concentrate on the remaining areas of the event.

Using bespoke software, we require from you only a list of delegate postcodes and the travel criteria you wish to apply, for us to compile a full transport programme including pick up points, timings, routes and on board catering and presentation arrangements. Our operational planners will attend planning meetings as required, and ensure that the transport programme slots smoothly into the overall event plan.

Porters
Extremely valuable during build up and breakdown. On hand to assist with the unloading/ loading of vehicles thus helping to increase vehicle turnover and giving exhibitors more time to prepare their stands.

Stewards
We recognise the need for efficient, friendly event stewards. Our staff will be fully briefed about all the aspects of your event and their courteous manner will help visitors enjoy the whole experience.

Traffic Marshals
An integral part of the traffic management team, we are aware that your delegates will be welcomed to your show by our marshals. Greeted pleasantly and dispatched proficiently your visitors will enjoy their brief encounter with the marshalling team.

Luggage Handling
For events/ conferences where delegates arrive with luggage we offer a handling service. Our methods provide a paper trail that tracks the movement of each piece of luggage, making the ‘lost luggage’ problem a thing of the past. Which if required, will extend to room dropping the baggage to the correct room.

Arrival Meet and Greet
In partnership with our locally based chauffeur service, we offer a meet and greet service. A uniformed driver will be in the arrivals Hall of Birmingham Airport or at the entrance of Birmingham New Street or other Birmingham station with a name board.

Welcome Hosts
We can provide experienced hosts who will welcome guests and escort them to their transfers. This host service is particularly useful for multiple flight arrivals, where delays may happen. Our hosts can also be used during the event for any aspect of guest transfers.

Departure Meet and Greet
At the end of your event, our meet and greet service again offers your guests that comfort of knowing that their driver will be in the hotel reception with their name on a board and that a safe transfer back to the airport will ensure they are in plenty of time for their flight.

Flight and Rail Bookings
Through our preferred partners at Air Partner, we have access to some of the best fares in the UK, and are able to assist with group purchase of both air and rail tickets.

For guests travelling from one destination, ie. London, chartering a Chiltern train is a great way of making their arrival something different, we can offer on-board hotel check in and a dedicated meet and greet on arrival into Birmingham.

Event Transfers
During your event, we can offer a superb range of luxury coaches to transfer guests to destinations both in Birmingham and farther afield for either daytime activities or dinners in the evening. Our coach partners are all familiar with Birmingham and the surrounding area.
